Job Description
The Maintenance Support Coordinator coordinates Maintenance Improvement System (MIS) tickets within Fleet Management Support – Maintenance and DMS, focusing on high-priority and project-level tickets. The role ensures correct ticket priority, categorization, handler assignment, action planning, follow-up, and progress in line with agreed priorities.
The role supports MIS ticket processing through DMS synergy by ensuring required technical documentation is available, consulted, and accurately reflected in ticket handling, AMOS updates, validation, and related maintenance support activities.
A key part of the role is data-driven coordination. The job holder is expected to have strong data analytical skills to analyze ticket and project data, cross-reference information against AMOS data, identify required
updates, prepare clear reports, and recommend practical next steps.
Principal Tasks:

Support the Team’s goal of keeping ongoing/open MIS tickets below 100 by monitoring ageing and blockers, following up ticket/process owners, and escalating items requiring attention.

Ensure high-priority and project-level MIS tickets have correct priority, categorization, handler assignment, action plan, follow-up, and progress in line with agreed priorities.

Support MIS ticket processing through DMS by ensuring required technical documentation is available, consulted, and accurately reflected in ticket handling, AMOS updates, validation, and related maintenance support activities.

Analyze ticket and project data, cross-reference information against AMOS data, identify required updates or data quality concerns, and recommend practical next steps.

Prepare clear reports, KPI views, action trackers, ageing summaries, and priority updates to support decision-making and maintain visibility of MIS ticket/project performance.

Coordinate with ticket/process handlers, stakeholders, and SMEs to keep actions moving, clarify ownership, resolve blockers, and escalate items requiring higher-level decision or technical approval.

Reduce dependency on the Senior Manager, Fleet Management Support for recurring Maintenance and DMS daily coordination activities, enabling greater focus on strategic transformation activities.
Main Tasks:
MIS ticket and project coordination

Coordinate Maintenance Improvement System (MIS) tickets, with focus on high-priority and project-level tickets.

Ensure correct ticket priority, categorization, handler assignment, action plan, ownership, and progress status.

Route actions to the correct ticket or process handlers and follow up progress in line with agreed priorities.

Maintain visibility of ongoing/open tickets, including backlog, ageing, blockers, and items requiring escalation.

Support the department target of keeping ongoing MIS tickets below 100 through regular monitoring, follow-up, and escalation.
DMS and AMOS documentation support

Coordinate DMS-related follow-up as part of the Maintenance support process.

Use DMS as the main source of technical documentation for MIS ticket handling, AMOS updates, validation, and recommendations.

Ensure required technical documentation is available, consulted, and accurately reflected in ticket handling and maintenance support activities.

Cross-reference ticket/project findings against AMOS data to identify required updates, inconsistencies, or data quality concerns.

Ensure AMOS updates and maintenance data recommendations are traceable to DMS or other approved technical documentation.
Data analysis and reporting

Extract, clean, validate, and analyse data from MIS tickets, AMOS, and related sources.

Prepare recurring reports covering ticket status, backlog, ageing, project progress, priorities, KPI status, AMOS update needs, and recurring issue trends.

Identify trends, blockers, recurring issues, data quality concerns, and improvement opportunities.

Prepare clear summaries, action trackers, and recommendations to support decisions and next-step alignment.

Use appropriate Microsoft 365 and reporting tools to improve visibility, consistency, and efficiency of reporting and follow-up.
Priority, stakeholder, and SME follow-up

Follow up agreed ticket and project priorities to ensure actions are progressing as planned.

Provide practical next-step recommendations based on data, AMOS information, DMS documentation, maritime engineering understanding, and process knowledge.

Coordinate with stakeholders and SMEs to clarify ownership, resolve blockers, and keep actions moving.

Maintain priority lists, action trackers, status updates, working instructions, and process documentation as required.
Minimum Qualifications
-
Bachelor’s degree in Information Technology, Data Analytics, Data Engineering, Maritime Engineering, or a related technical discipline.
- 2–3 years of relevant professional experience in data analysis, technical support, maritime operations, maintenance, or a related field.
- Preferably with experience as a Senior Data Analyst or in a similar role supporting maritime engineering or vessel maintenance data.
- Practical experience working with maritime maintenance, technical documentation, fleet support processes, or a similar operational environment.
- Strong data analytical skills, with the ability to:
- Analyze ticket, project, and maintenance data.
- Cross-reference and validate AMOS/PMS data.
- Identify trends, discrepancies, data quality issues, and required updates.
- Prepare clear reports, summaries, trackers, KPI views, and data-driven recommendations.
- Translate data and technical findings into practical next-step recommendations.
- Strong practical knowledge of Microsoft Excel and Microsoft 365 tools for reporting, tracking, cross-referencing, data validation, and documentation.
- Working knowledge of Power Query, Power BI, SharePoint/Microsoft Lists, or similar reporting and workflow tools.
- Experience using AI tools, including Microsoft Copilot, to support research, documentation, reporting, data analysis, and insight generation.
- Comfortable working with PMS/AMOS, DMS, MIS/ticketing systems, and other maintenance or project management tools.
- Strong coordination, stakeholder follow-up, and ownership skills, with the ability to manage ticket/project actions and priorities through to closure.
- Ability to coordinate effectively with Subject Matter Experts (SMEs) and other stakeholders to clarify technical or data-related issues and agree on appropriate actions.
- Strong communication and interpersonal skills, with the ability to work effectively with stakeholders across different functions, business cultures, and geographic locations.
- Service-minded, proactive, and confident in escalating risks, delays, unclear ownership, missing documentation, or AMOS/PMS data quality concerns when required.
- Strong ownership mindset and commitment to following actions through to completion.

This position is offered on a fixed-term contract of 12 months (1 year), with the possibility of extension up to 24 months (2 years) based on business requirements.
