Job Description
Strengthen Höegh Evi’s Legal & Compliance function by establishing robust information management and legal‑tech practices that improve efficiency, quality and compliance. The role designs and maintains our legal document structures and taxonomies, supports contract lifecycle workflows, enables privacy‑compliant archives, and drives adoption of AI‑supported legal tools in collaboration with IT, data and security.
Primary Accountabilities:

Information governance: Define and maintain classification, metadata and retention standards for legal and corporate documents to ensure consistency, auditability and privacy compliance.

Archive and knowledge management: Design, optimise and administer the corporate and contract archive, including searchability, taxonomy and template libraries.

Legal technology enablement: Lead the evaluation, configuration and user adoption of legal‑tech tools (e.g., CLM, document automation, matter management, AI‑assisted search/summarisation) with IT and security.

Process and workflow design: Map and improve core legal processes (KYC evidence storage, IDD documentation, contract procedures, litigation/matter files) to reduce cycle time and risk.

Training and change: Provide concise training, user guides; promote best practice usage and continuous improvement.

Compliance by design: Embed privacy, security and regulatory controls into legal information and tool workflows; support DPIAs and data‑mapping for legal systems.

Reporting and metrics: Track adoption, quality, throughput and legal‑tech value (e.g., turnaround time, rework, external counsel cost avoidance).

Business partnering: Translate legal needs into technical requirements and act as bridge
between Legal and Compliance, IT, data, security and vendors.
Main Tasks:

For information governance

Maintain a legal‑specific taxonomy and controlled vocabularies.

Run periodic audits and remediation of legacy repositories.

For archive and knowledge management

Configure folder structures/libraries for corporate entities, contracts, matters and advice.

Curate and version templates, playbooks and clause libraries.
-
Implement enterprise search facets and saved views for common legal queries.
-
For legal technology enablement
-
Pilot and scale AI‑assisted use cases (search, drafting support, summarization) with risk controls.

Manage vendor relationships, security reviews and release testing with IT.
-
Superuser for software tools utilized by L&C
-
For process and workflow design
-
Map AS‑IS and design TO‑BE flows for e.g. KYC/IDD evidence, contract reviews, DPA handling and enterprise risk management.

Define hand‑offs between Oslo and Manila; create RACI and SLAs.
-
Implement streamlined matter intake and triage.
-
For training and change
-
Produce short guides, videos and “how‑to” pages; run quarterly refreshers.
-
Collect feedback, prioritise enhancements and publish a visible backlog/roadmap.
-
For compliance by design
-
Support Data Protection Impact Assessment for legal tools; maintain data inventories and records of processing.
-
Ensure retention schedules are enforced; coordinate defensible deletion.

For reporting and metrics
-
Build dashboards showing cycle times, throughput, adoption, external counsel cost trends and contract volumes.

Provide monthly highlights/risks to CLCO and Legal LT.
Minimum Qualifications

Bachelor’s degree in Law, Information Management or similar

Master's degree is an advantage
-
At least 4-5 years of relevant work experience in Legal Operations, Information Management, Knowledge Management or related)

Technical skills:

Hands‑on with document/record management (SharePoint/Teams or equivalent), CLM, document automation and metadata/taxonomy design.

Familiarity with privacy‑by‑design, retention schedules and defensible deletion.

Experience with AI‑supported legal tools and prompt best practices, with an understanding of security and accuracy controls.

Comfortable producing simple reports/dashboards (e.g., Power BI) and maintaining template libraries.
