An exciting opportunity has arisen to work as Facility Assistant, reporting to the Site Manager. This individual will provide a professional, flexible, customer focused support function within the business, undertaking administration, logistics, compliance and QHSE activities for both the office and workshop.
Key Accountabilities:
- Support all HSE functions, including conducting monthly inspections of workshop/office.
- Participate in HSE committee meetings.
- Support all functions pertaining to equipment/tooling conformity within the workshop.
- Reporting all facility management/maintenance invoices within a timely manner.
- Day to day administration of key business support functions within the business.
- Preparation, maintenance and completion of vendor documentation.
- Review and seek approval of supplier invoices within required timescales.
- Provide support to both site and workshop managers in areas of business support/site management.
- Oversee and support administrative duties in the office and ensure that office is operating smoothly.
- Receive and sort incoming mail and deliveries and manage outgoing mail.
- Perform/support shipping/receiving duties for both the office and workshop.
- Other projects and assignments as directed by Manager or Team lead.
Qualifications and Experience:
- Experience with Canadian/Provincial HSE requirements and regulation an asset.
- Experience in Customer Service or Administrative support considered an asset.
- Knowledge of KM Worldwide organizations, products, deliveries, and customers a plus.
- Committed and reliable.
- Experience with Microsoft Dynamics or other Windows based ERP systems is a plus.
- Knowledge of operating a PC and working with Microsoft Office.
- Ability to manage time and meet required deadlines with little direction.
- Good written and verbal English communication.
- Ability to be self-sufficient.
- Positive attitude and ability to work well with others.
Competence:
- Knowledge of KM Worldwide organizations, products, deliveries, and customers a plus
- Maritime experience a plus
- Committed and reliable
- Experience with Microsoft D365
- Knowledge of operating a PC and working with Microsoft Office
- Ability to manage time and meet required deadlines
- Fluent in the English language
- Excellent written and verbal communication with both internal and external customers
- High level of customer service skills
- Ability to be self-sufficient
- Positive attitude and ability to work well with others
- Maritime experience a plus
- Committed and reliable
