Facilities Coordinator

We are seeking a Facilities Coordinator to join our dedicated team in Newcastle.

Working Mon – Fri, 40 hours per week, you will be responsible for overseeing Facilities and supporting Health and Safety for the Newcastle site. Provide administrative support to ensure the efficient operation of our office and support the delivery of effective and flexible facilities service. You’ll be assisting with the provision of planned, preventative, and reactive maintenance, contacting sub-contractors and suppliers. Supporting with office refurbishment and other large-scale projects as required.

Supporting Health & Safety Manager based on our Channel routes with all requirements for the development, implementation and maintenance of Health and safety policies for our site. Assist with health and safety inspections, audits, and undertaking safety investigations on accidents and serious near misses / property damage as required. Arrange for the inspection, testing and replacement (where necessary) of safety equipment across the site, such as Portal Appliance Testing (PAT), fire extinguishers etc and ensuring risk assessments are carried out, provide health and safety inductions and training as required.

Support Senior Management with producing corporate and health and safety reporting as required. Order and maintain supplies including stationery and refreshments. Procurement and requisition management, management of incoming and outgoing mail. Maintenance of visitor facilities, preparation of meeting rooms and the co-ordination of onsite meetings. Engaging with key internal and external stakeholders including contractors, regulators, and enforcement agencies as required.

A proficient level of administration experience would be advantageous working within a fast-paced environment. An ability to work on your own initiative combined with a driven approach to the work undertaken is required to make sure documentation is completed to the desired standards, ensuring customer service levels are met.If you enjoy an administrative role and have proven reliability, with a flexible & adaptable way of working, then you could be well suited for this position.
