Office Manager

Kongsberg Maritime Namibia (Pty) Ltd is representing Kongsberg Maritime’s business units and product lines in the Africa.

We are searching for a person to provide professional administrative support to one or more senior managers, and a complex administrative service to a team.


  • Higher education -  Human Resources/Administration/Financial would be preferred
  • Experience in working on similar position
  • Knowledge of financial, taxes, payroll
  • Ability to work effectively under pressure
  • Flexibility, ability to deal with ambiguity and change
  • Ability to exercise judgement and act on own initiative
  • Very good knowledge of Microsoft Office tools (comfortable using Excel and its multitude of functions)
  • Very good communication skills
  • Structured, reliable, good in networking and with collaboration skills
  • Excellent written and spoken English

 Main Tasks: 

  • Assist the Area Financial Controller with monthly closing of the books
  • To review and analyses the monthly financial results and ensure overall data integrity and explain and report on significant variances vs. prior month plan
  • Performs monthly reviews of the balance sheet accounts and performs the analysis of variances and follow ups
  • Ensure that business strategies are supported by the Finance departments objectives and activities
  • Preparation of all tender related documentation in close cooperation with Sales Department
  • Support with all tax related matters like VAT, company tax
  • Responsible for accurate monthly payroll including all related payroll tasks (incl. pension fee, payroll taxes)
  • Contact point for EFSC regarding AP
  • Contact point for outsourced tasks (like payroll, taxes etc.)
  • Ensure timely and accurate bookkeeping so accounts are always up-to-date
  • Assist Service admin regarding control and finalization of Service Orders invoiced out
  • Provide administrative support to managers on relevant systems (Undertake general office management activities like handle telephone and face-to-face enquiries on behalf of primary managers, screening calls and responding to queries directly)
  • Operate relevant business systems to process data
  • Manage stakeholders and ensure fair process in everything we do
  • Contribute to continuous process improvement activities, by identifying areas for process and system improvement, and creating and updating administration operating procedures
  • Undertake general office management activities, including ordering of stationary, filing and mail collection and distribution
  • Other general tasks within the finance team (including assisting HR/IT/Service Admin)
