Crew Coordinator

We are accepting online applications for the Crew Coordinator position for PT Höegh LNG Lampung located in Jakarta, Indonesia.

The Crew Coordinator is responsible for the efficient management of maritime personnel. It involves various responsibilities like budgeting, wage scales, and day-to-day follow-ups. The role also involves recruiting, retaining, training, and developing high-quality seagoing personnel. Ensuring that the seagoing personnel have the necessary qualifications, training, and competence to comply with customer requirements and ensure safe and efficient vessel operation. Effective coordination with TSI regarding crewing issues is also critical to crew management.

Responsibilities for this position may include but are not limited to:

1.         Crew change of officers and ratings

  • Ensure safe crew changes of officers and ratings according to the rotation plan.
  • Confirm and coordinate crew changes with Crew Manager and Agent.
  • Communication with the officers and ratings regarding crew changes and next plan.
  • Book the flight tickets for on-signers.
  • Assist Captain to book tickets for off signers when needed.
  • Ensure contracts and all other pre joining documents are valid and uploaded to our crewing system OCS.
  • Coordinate on and off signers with harbour master.
  • Keep all activities in OCS up to date to secure correct payroll process.
  • Long term planning of ratings.
  • Focus on cost saving by ensuring crew changes in bigger batches.

2.         Crew Resource Planning

  • Ensure that the vessel is adequately manned with qualified and competent crew.
  • Communicate and coordinate with Crew manager if recruitment is necessary to man vessel.
  • Initiate recruitment process according to internal procedures when needed.
  • Keep track of promotion candidates as recommended by the vessel in crew evaluation reports.

3.         Qualification and Documentation Control

  • Ensure that all crew are trained and certified according to STCW and internal requirements.
  • Ensure that maritime personnel hold valid certification and documentation according to the Company’s Training and Qualifications matrixes.
  • Book training and competence development according to competence matrix, pre joining requirements and instructions from Competence Manager.
  • The crew coordinator carries out the qualification and documentation control for all on signers.
  • Make crew aware of documents that needs renewal.
  • Check and upload the Crew Evaluation Reports and other documents of previous service and performance to OCS.

4.         Recruitment Processes

  • Prepare all document in accordance to company procedure.
  • Background check according to company procedures must be carried out on all new crew hires.
  • Upload all recruitment documents to the OCS.
  • Register new crew in OCS.
  • Unregister crew in OCS that leave the company.

 

Qualifications and personal skills:

  • Bachelor's degree in marine or related fields
  • Knowledge of maritime and crewing regulations
  • Proficiency in English (both written and oral) and Microsoft Office applications
  • The ability to work under pressure and manage multiple priorities
